Inventory

One accurate number for what you actually have, everywhere you have it.

What it is

Inventory is Platinum's live record of stock: what items you carry, how they're organized, how much of each is sitting in every branch and store, and what it cost you. Every sale, purchase, transfer, write-off, and physical count runs through it, so the on-hand quantity and cost shown on screen is the same number the rest of the system relies on.

How it works

Organize with categories

Items are grouped into a category tree. Top-level categories carry a required Cost Center, so every stock movement under them can be traced back to the part of the business responsible for it.

Every movement is a document

Stock never moves silently. Sales, purchases, returns, transfers, and internal adjustments are all entered as typed documents with item, quantity, and cost lines, then posted.

Reconcile with physical counts

Periodically, staff count what's actually on the shelf in a stock take. Posting it automatically compares the count to the system's on-hand quantity and writes the difference away as adjustment stock movements - no manual write-off needed.

Adjust, transfer, and write off deliberately

When stock needs to move without a sale or purchase - between branches, into internal use, or off the books as damaged - a dedicated document type captures it, keeping the reason distinct from ordinary trading.

Costing follows real purchase history

New purchase and adjustment lines default to the item's most recent purchase cost for that branch and supplier, falling back to the item's card cost for brand-new items - so cost figures reflect what you actually paid, not a guess.

The problem it solves

Without a single, trustworthy stock ledger, sales get quoted against stock that isn't really there, costs get guessed instead of calculated, and shrinkage or damage just vanishes unexplained. Platinum forces every quantity change - a sale, a supplier delivery, a branch transfer, a damaged item written off - through one auditable document, so stock counts stay accurate and every adjustment has a name, a reason, and a trail back to who made it.

📒 Accounting

Stock adjustments and transfers that carry real financial weight post a GL voucher automatically: Adjustment Out/In and Damaged Voucher move value between a chosen voucher sub-type account and the company's transfer-credit account, while a branch-to-branch Transfer Items document debits and credits the two sides of the move. Opening Balance is the one exception - it seeds quantity on hand without ever touching the books.

🧾 Sales

Every posted sales invoice and sales return draws down or restores stock quantity and drives the item's cost calculation, exactly like a purchase does in reverse - Sales and Inventory share the same on-hand number.

🏭 Manufacturing

Production orders consume raw-material stock and post finished-goods stock back into Inventory based on the item's bill of materials, so manufacturing draws from and feeds the exact same stock ledger as everything else.
