Stock Taking
Count what's really on the shelf, and let the system settle the difference.
What it does
Stock Taking is a physical count sheet: scan or search items, enter the counted quantity for a branch/store, and compare it against the system's recorded on-hand quantity. Draft counts can be built up over time - by barcode scan, by loading a whole category at once, via Excel import/export, or via a handheld PDA scanner round-trip - before being posted.
How it works
Choose branch, store, and costing method
Costs can be pulled from the item card, an average cost, the last cost, or a bill-based average/last cost - whichever method the business counts by.
Build the count
Scan barcodes one at a time, pull in an entire category's items at a zero starting count, or import a counted sheet from Excel or a PDA scanner export.
Review the variance
Each line shows quantity on hand, counted quantity, and the difference valued at cost, so shrinkage or overage is visible before anything is committed.
Post to settle stock
Posting automatically generates already-posted Adjustment In and/or Adjustment Out stock movements for the counted differences - lines counted higher become an Adjustment In, lines counted lower become an Adjustment Out - correcting on-hand quantity without any manual write-off step.
Merge partial counts
Stock Taking Merge combines several draft counts from the same branch and date range into one, so different staff can count different aisles separately and reconcile them together before posting.
The problem it solves
Physical stock always drifts from what the system thinks is on the shelf - breakage, miscounts, theft, or simple data-entry slips. Without a structured reconciliation step, that drift either goes unnoticed or gets 'fixed' with an untracked manual edit that destroys the audit trail. Stock Taking turns the count into a proper document with a before/after value, and posting it writes the correction through the same Adjustment In/Out mechanism as any other stock movement, so the correction itself stays auditable.
